Responsibilities & Duties

The International Program Associate will support the Center for Disaster Philanthropy’s (CDP) international grantmaking by assisting the director, international funds with data collection and analysis, grant processing and the administrative functions of grantmaking.

Responsibilities

  • Organization-Wide
    • Become conversant about organizational funding interests, our service offerings and our culture.
    • Participate in team discussions concerning grantmaking strategies and program management.
    • Conduct internal and external research to contribute to program planning.
  • Grants Management
    • Assist in the preparation of grants packets for the CDP executive team and board.
    • Liaise with grant seekers to obtain additional information required to complete the processing of their grant requests.
    • Answer and address all administrative, non-programmatic or decision-making inquiries from grantees about their grant.
    • Respond to emails and telephone calls requesting general information about CDP grantmaking and a proposal’s review status.
    • Respond to inquiries and proposals that fall outside of CDP’s interests and focus.
  • Systems, Data and Document Maintenance: Serve as the program team lead on CDP’s Blackbaud grantmaking, Raiser’s Edge NXT CRM and Redbooth project management systems (orientation and training provided).
    • Undertake all initial data entry of organizations, contacts and requests.
    • Edit, publish and send out grant applications and requests at the direction of the director.
    • Track, request and manage receipt and documentation of all deliverables and reporting requirements (applications, progress report(s), impact stories, final report).
    • Ensure all systems and databases are maintained and up to date with current status, information and supporting documents.
    • Assist in the design and run monthly grant reports for CDP leadership that include relevant, useful details on grant activity including interventions funded and organizations served.
    • Collaborate across the program team and the broader organization on matters relating to both systems and grantmaking.
    • Act as a point of contact for development, communications and finance teams’ inquiries or requests related to administrative elements of international grants.
  • Desk Research and Ad-hoc projects
    • Conduct supplementary desk-research into potential new or ongoing disasters and crises (context, needs, gaps, actors) and synthesize data in digestible reader-friendly formats as requested.
    • Carry out any ad-hoc requests from director as requested.
  • Additional Administrative Responsibilities
    • As requested, take notes during calls, noting key points and actions, and communicating with relevant teams as necessary.
    • Provide support in preparing for and setting up calls, webinars, etc. as requested.
    • Carry out any additional administrative tasks as requested by director.

This position reports to the director, international funds but works in service of other team members.

Requirements:

  • Experience in an organizational setting in the fields of disasters and humanitarian crises, philanthropy, nonprofits or social programs (minimum 3 years required), or equivalent experience.
  • Master’s degree in a related field preferred or equivalent work experience.
  • Knowledge of and interest in disasters and/or global humanitarian crises and understanding of the organizations poised to address those crises.
  • Experience with grants administration (preferred) or general project administration (minimum).
  • Ability to independently manage a range of operational functions and / or manage interns.
  • Ability to quickly learn new systems and feel comfortable navigating them.
  • Comfortable with finances, demonstrated by ability to read and understand budgets and spreadsheets.
  • Superior written and verbal communication skills.
  • Excellent analytical, critical thinking, and organizational skills with precise attention to detail.
  • Ability to work remotely with minimal direct supervision and multi-task, including managing multiple tasks and projects simultaneously.
  • Ability to work effectively both independently and within a team.
  • High degree of comfort and skill using Microsoft Office, particularly Word, Excel and PowerPoint.
