Background of the project

Outraged by the injustice faced by people with disabilities and vulnerable populations, we aspire to a world of solidarity and inclusion, enriched by our differences, where everyone can live in dignity. HI, humanity & Inclusion (formerly Handicap International), is an independent and impartial aid and development organization with no religious or political affiliations operating in situations of poverty and exclusion, conflict and disaster. We work alongside people with disabilities and vulnerable people to help meet their essential needs, improve their living conditions and promote respect for their dignity and fundamental rights. Since its creation in 1982, the organization has implemented development programs in nearly 60 countries and intervenes in emergency and development contexts.

The “Inclusion of Persons with Disabilities in Humanitarian Action” project aims to respond to this demand through the review, development and testing of tools for capacity building and building awareness. This allows our teams in-country to respond to the technical support and capacity development demands at various levels of humanitarian interventions in various settings and be able to monitor progress against capacity development.

Scope of Work

We are looking for a consultant to help us organize an online project closing event/workshop involving key stakeholders to present and discuss the work done through the project, and discuss next steps. Therefore, we are seeking someone who will support the administrative and logistical preparation, including the compilation and preparation of key documents to be presented in the event and the necessary preparations. The event needs to be fully accessible.

Duration: 20 days (starting January 3rd, Ending January 31st 2022)

Tasks:

The consultant will carry out the following tasks:

  • Support in finalisation of event agenda
  • Organize all logistical details related to online event as well as logistical support during the event, including all accessibility matters
  • Design, draft and prepare the dissemination of invitations (both the flyer and formal email)
  • Design, draft and prepare key documents to be presented during event
  • Prepare and maintain invitees list, ensure that it is appropriate, complete and up to date
  • Keep record of attendance of participants, resource persons and guests in the events
  • Plan and arrange event logistics
  • Produce event report with summary of key messages and discussions for next steps

Deliverables:

  • Agenda formalization
  • Formal email / flyer
  • Accurate list of guests and participants
  • Smooth running of event
  • Documentation of internal workshops
  • Write up of project findings, lessons learnt
  • Finalisation of event key documents (summary, PPT presentations, handouts)
  • Weekly updates
  • Event report, including discussions, recommendations, way forward, etc**

Skills & Qualifications:

  • Demonstrable event management experience
  • Knowledge of online event platforms
  • Previous experience in accessibility of online events
  • Flexibility, diplomacy, cultural sensitivity and capacity to work in a multicultural environment
  • Excellent written and oral communication skills in English are required, a good command of French is an asset
  • Strong attention to detail
  • Good knowledge of the humanitarian and development actors is an asset

Jan 3rd – kick off meeting

Jan 6th – finalise agenda, send invitations and re-confirm key speakers

Jan 10th – Jan 24th – Full planning/organisation of event details

Jan 25th – Event date

Jan 28th – Event report
