Internews Network is an international media development organization, whose mission is to give people a voice and the information to empower communities. Internews is seeking a Grants Officer for USAID’s Investing in Independent Media Activity (IIM) with the general goal of expanding access to information among the general public and supporting sustainable independent media. As part of the Field Operations team, the Grants Officer will be handling IIM sub-grants, including those under the Emergency Support Fund mechanism and other grant pools, administrative and compliance services for the Internews-led Investing in Independent Media project. This position is best suited to a highly organized individual who has sub-grants and micro-grants administration experiences, preferably with USAID’s Activities or USAID-funded Projects.

Under the supervision of the IIM Partnerships Manager, the Grants Officer is primarily responsible for handling IIM sub-grants, including those under the Emergency Support Fund mechanism and other grant pools. The Grants Officer will be an integral part of the IIM Field Operations team and will work closely with the Partnerships Manager to implement IIM sub-grants.

As part of the Field Operations team, under the supervision of the Partnerships Manager, the Grants Officer will support the Partnerships Manager to ensure a smooth flow of grant requests and documentation; will maintain regular contact with IIM grantees with respect to the implementation of projects. The Grants Officer will provide support for the Partnerships Manager who is responsible for requesting grant agreements from Headquarters; will consult IIM partners on all types of reporting; will ensure that reports are submitted timely, maintaining local filing of agreements. Will keep Partnerships Manager and Head of Operations informed of all challenges, issues and successes of candidates; will work closely with IIM finance staff to ensure that payments and associated proof of payments are well regulated.

LOGISTICS

This position will be at-post in one of Internews’ Asia regional field offices. Due to the ongoing COVID-19 pandemic, many of Internews’ offices are closed or partially remote and staff are working remotely. Until the situation meaningfully changes, this role will also function remotely. The incumbent will ultimately be based at-post in Southeast Asia. You should apply with the understanding that work hours will need to be coordinated to align in part with those of colleagues in Southeast Asia and on the East Coast of the United States.

All remote candidates will be considered. However, you must have work authorization in your current location that does not require sponsorship from Internews. Additionally, there are locations in which Internews is not able to support fully remote work.

DAY-TO-DAY TASKS will include:

  • Provide support in administrative tasks related to the administration of the full cycle of grants management activities under the supervision of the Partnerships Manager;
  • Conduct due diligence vetting checks for all potential sub-grantees and vendors;
  • Liaise with sub-grantees for the submission of grant applications and activity budget, etc.;
  • Support Grant Review/Selection meetings and present the applications in the agreed format;
  • Support sub-grantees for preparation of pre-award documents;
  • Communicate with sub-grantees on a regular basis for follow-up on grants related issues;
  • Communicate with sub-grantees for their timely submission of milestone deliverables, narrative and financial reports;
  • Communicate and coordinate with Finance department to process payment requests to sub-grants according to IIM/Internews compliance policy;

  • Collect payee acknowledgements and receipts from sub-grantees and vendors;
  • Organize and maintain grants records and outputs electronically and potentially in hard copy;
  • Organize internal IIM grants related meetings and other meetings as needed;
  • Assist with coordination of administrative support provided to sub-grantees;
  • Work with other IIM staff and team members including Monitoring, Evaluation & Learning team as needed;
  • Produce monthly grant update reports;
  • Perform other duties, as and when requested; and
  • In all duties, demonstrate an understanding of and commitment to upholding Internews’ Core Values.

QUALIFICATIONS WE’RE LOOKING FOR

  • At least two years related work experience and a strong interest in providing high quality administrative support to a professional team
  • Possess grant administration knowledge and skills
  • Understanding of grant process and grant documents, preferably under USAID-funded Activities
  • Understanding of financial documents in grant processing
  • Skilled user of MS Office (Word, Excel, Outlook, PowerPoint) applications and collaboration tools
  • Strong communication skills and ability to thrive as part of a diverse team
  • Attention to detail
  • Ability to work independently and remotely, as well as with a team
